Space and Fees: Each space size is 10 foot x 10 foot. Tents, tables or chairs ARE NOT PROVIDED, but may be rented for an additional fee from Liberty Rentals or you may bring your own. Please call Liberty directly at (401) 789-7332 for your rental needs. Electricity is $50 per booth. No generators will be allowed.
2014 Exhibitor/Vendor Application and Guidelines
Space and Fees
Exhibitor space includes one (1) 10 foot x 10 foot area. Booth assignment and placement will be made on a first come, first served
basis. Fees are as follows:
- Food Vendors - $150
- Business – Selling (other than food), non-selling, sampling or couponing - $50 (1st 50 dealers, $100 thereafter)
- Non-Profit, government or agriculture - $0
- Electricity - $50 (no generators will be allowed)
Selection Criteria
- Vendor selection will be at the discretion of the Planning Committee.
- Vendors and exhibitors will be chosen in a manner that will provide an appropriate mix of education, food and refreshment and entertainment.
- Food and refreshment vendor priority will be given to:
- DEM Galilee leaseholders
- Narragansett vendors
- Vendors who sell or use locally-grown/harvested produce and seafood
- All others subject to menu and items offered for sale
- Vendors or exhibitors who sell products or promote issues will be given priority in the following order:
- Fishing or environmental-related
- Outdoor living
- Health and wellness
- All others
- The Committee reserves the right to reject any vendor/exhibitor’s application for any reason.
- Political parties will not be allowed to exhibit/vend in any manner.
- Individuals campaigning for elected office or their campaign committees will not be allowed to exhibit/vend in any manner.
Permits/Licenses/Taxes/Insurance
- All permits, licenses and insurance documents are to be provided along with the application form.
- Food vendors must provide a copy of the standard RI Food Sales Permit and Mobile Food Sales License. Vendor is responsible to obtain these permits.
- Taxes – Vendors are required to collect 7% state sales tax. Food vendors are required to collect 8% state sales tax (rate subject to change based on General Assembly action).
- Vendors must provide a copy of their RI Sales Tax Permit.
- If vendor does not have a regular permit a temporary sales tax permit may be obtained from the RI Division of Taxation for the day of event.
- All taxes due must be paid to the RI Division of Taxation directly by the vendor.
- Vendors giving away products or conducting a raffle do not need a sales tax permit.
- Vendor must provide a certificate of insurance with the Town of Narragansett and Rhode Island Department of Environmental Management named as additional insured.
Trash/Recycling: Vendors are responsible for cleaning their own area at the end of the event and removing all trash and recyclables to dumpsters and recycling containers designated by the organizers. All cardboard must be broken down to be recycled.
Rain Policy: This is an outdoor rain or shine event. The organizers will provide a specific phone number to call for more information if a severe weather warning is issued on the day of the event
Cancellation Policy: If a vendor cancels for any reason prior to July 6, 2014, 100% of the deposits paid will be refunded. If cancellation is between July 7, 2014 and August 5, 2014, 50% of payments made will be refunded. No refund of payment will be given if an Exhibitor cancels on or after August 6, 2014.
